Aladtec Assists Grant Park Fire District (IL) Resolve Shift Trading Issues, Improve Productivity & Save 40 Hours a Month

Kankakee, IL - Although it’s common in the Public Safety sector to allow shift trades between members - actually making, approving, documenting and running reports on trades can be a battle. Grant Park Fire District was struggling to keep the schedule for their 36 members up-to-date and to keep track of all their shift trades and call-offs.  They determined it was time to look for an Internet based workforce management system.

“We previously used emailing and a spreadsheet to schedule our employees.  Individuals would email their availability, then we’d manually figure out the schedule based on who could work when. We’d then create the schedule on a spreadsheet and distribute it.  This method was deficient because we couldn’t easily deal with, or track, trades and call-offs,” explains Matt Shronts, Deputy Fire Chief. “After trying out three different vendors, we determined Aladtec not only has the best online scheduling and workforce management system, but they also offer the most software system options and the quickest most reliable customer support.  Upon implementing Aladtec, we found 100% of our scheduling problems were resolved.”

Aladtec allows members to submit their availability and make trades within the system.  Because the schedule is online, it’s always current and trades and call-offs are easily tracked.  Many processes, such as shift trades, can be automated which saves administrators a tremendous amount of time.

“Our Aladtec system saves us approximately 40 hours a month - that’s an entire week in time available to devote to other responsibilities.  We also save time and effort dealing with the various agency forms we have,” shares Shronts. “We’ve  completely moved away from countless pages of paper by moving our forms online to Aladtec.  All of our maintenance requests, drug inventory, daily and weekly ambulance/apparatus checks, along with many other forms, are handled within our Aladtec system.  Employees complete and submit any given form within the Forms section.  As soon as a form is submitted we automatically receive notification if an issue has been identified on the form, so it can be addressed in a timely manner.  We immediately know the status of our vehicles and we can ensure our equipment is present and functioning properly at all times.  Aladtec also allows our forms to be archived for days, weeks, months or even years.”

We will be chatting with University of Wisconsin River Falls students at the college's annual Opportunity Fair on February 8th and Career Fair on February 22nd.

According to the University, "The Opportunity Fair is an excellent way for students to network with employers from a variety of organizations. Students benefit from attending by gathering information on organizations and possible job / internship / volunteer opportunities, and by enhancing professional communications skills from speaking with organization representatives."

The Career Fair on the 22nd is a part of Career Week at the school.  Their website states, "The Career Fair is an excellent way for students to network with employers from a variety of organizations and UWRF programs. Students benefit from attending by gathering information on organizations and possible job or internship opportunities, and by enhancing professional communications skills from speaking with company representatives. Many students obtain jobs or internships as a result of attending the Career Fair."

We also hire interns and in the past, many of them met us at one of these events.

Add Timesheet Functionality to Forms

We are excited to announce a powerful new feature in Forms - the ability to create a timesheet.  In the Form Configurator under Smart Layout, there is now an option to add Pay Period Time Records.  When members submit a form, this smart layout section will automatically display the details for each shift they worked during the pay period.

The 36th annual EMS Today Conference and Exposition takes place at the Calvin L. Announcing Minimum Staffing Requirements

We recently rolled out a “Minimum Staffing” feature to Aladtec’s online employee scheduling and workforce management system. This flexible, easy-to-use feature allows defining minimum staffing requirements for each schedule. Warnings will display on schedules that do not comply with your pre-set requirements. For example, use this feature to display a warning when staffing levels fall below five during the day and three at night or when there isn’t anyone on the schedule with a required qualification such as CPR certification or HazMat.

Staffing Requirements can be set up:

  • per schedule, down to the hours within each day of the week. 
  • for the minimum number of staff.
  • for multiple qualifications using member database fields, including any combination of select lists, multi-options, and expiration dates. 

In the following example, on the Hamilton Station schedule, “Minimum Staffing” is set up for the schedule hours from 7:00 a.m. - 11:00 p.m., each day of the week. Saturday and Sunday require a minimum of three members between 7:00 a.m. - 3:00 p.m. while the rest of the days and times require four members.

Continuing with the Hamilton Station schedule example, a “Fire Apparatus” requirement requires a minimum of one member on the schedule with either a “Water Tender” or “WTD Super Tender” qualification from 8-11:00 a.m. on Saturday and Sunday.

When a violation occurs, a warning displays in the Work Schedule views and the Hourly Editor on each day, per schedule. Details of the violations are visible to all members for consideration when requesting time off or signing up for shifts.

In the following example, the monthly Work Schedule View warns that the Hamilton Station schedule on the 26th violates the “Fire Apparatus” minimum staffing requirement. As defined above, a minimum of one member with the “Fire Apparatus” qualification is needed on the schedule, between the hours of 8-11:00 a.m. on Sundays.

The Hourly Editor displays each staffing count followed by the required number of staff (i.e. current/required). Any violations are shown in red.

In this Hourly Editor example, the "Fire Apparatus" staffing requirement displays as 0/1 indicating the need for one member to fulfill this staffing requirement.

This Sheriff’s Office Easily Manages Complex Staff Scheduling with Aladtec While Staying Union Compliant

Saving time and money while following union rules was the goal for Wisconsin's Florence County Sheriff’s Office.
Moving a complex employee shift rotation online to save time and complying with union overtime rules was a necessity for Florence County Sheriff’s Office.

“We are unionized here, and I thought it would be an issue for calling people in on overtime according to the union contract. The union worked with us so we could do the coverage requests using the Aladtec system. Because the Aladtec software time and date stamps, we can take the overtime sign-ups to meet the contract requirements,” explains Sheriff Jeff Rickaby, Florence County Sheriff’s Office, Wisconsin.

Along with ensuring union overtime compliance, this agency wanted to switch from scheduling their 25 officers on paper and move to an online employee scheduling system that could easily handle their challenging shift rotation.

“We scheduled our staff on paper, and it was difficult and time-consuming.  We needed a better method. Our work schedule is complicated from the standpoint that we have a standard four day on four day off schedule, what makes it different is our staff rotates within that schedule to maintain constant relay of day to day information. Someone is always working today that worked yesterday; this eliminates information loss on routine day to day things.  Instead of having two different work groups opposite of each other we actually have six work groups,” adds Rickaby.  “I contacted Aladtec and within a very short period of time they were able to customize their software to suit our particular scheduling needs. The free training on the software was well done and easy to understand.”

Public Safety Agencies find they are saving vast amounts of time after switching to Aladtec.  Processes are automated, there are fewer errors, and the flow of communication is greatly improved.  “Aladtec saves us several hours each week, often that time was spent calling staff notifying them of schedule changes. Since we don’t have to do that anymore, I think we are saving over $6,500.00 per year due to the tremendous savings in time.  The software has also eliminated scheduling errors,” states Rickaby. "Our agency had some hesitation changing to an on-line schedule program. One of my older supervisors was very apprehensive about the change. We have been using the scheduling software for over two years, and now he wouldn't be without it and neither would the rest of the agency.”
